Speed is everything — prospects land on the website or reach out and get no real-time engagement.

Garey Whittaker, in our discovery

Here's what we're building.

Where we are → where we'll be

The gap this engagement closes.

Today
  • Website informs but provides no real action path — 'Book a Quote' leaves prospects in limbo
  • Orders come in by WhatsApp, depend on a human being awake, and break down after hours
  • No CRM — no pipeline, no last-touchpoint, no conversion data
  • Existing chat widget is manual live chat, not AI — unresponsive during the demo
  • Four customer types all see the same generic page
After this engagement
  • Every ICP lands on a page built for them and books a real next step on a real calendar
  • One CRM holds every prospect and customer — pipeline visible, conversion measurable
  • AI handles inbound responsiveness 24/7 — web and WhatsApp — and only escalates when it should
  • Repetitive operational work runs without human bottlenecks
  • TrackPod feeds the CRM through API — no rip-and-replace

The phases

Three standalone deliveries. Each one builds the next.

Phase 1Foundation

CRM & Digital Redesign

01

Outcome: Rapid Onsite Fuelling has a converting website, a working CRM, and ICP-specific messaging — so every prospect self-identifies, every lead is captured centrally, and you finally have pipeline data.

What we'll do

  • ICP and service mapping — construction, transportation, generator owners, boaters
  • Full website rebuild focused on conversion, not just information
  • ICP-specific landing experiences with clear booking and quote paths
  • Go High Level CRM — pipeline, contacts, communication logs, round-robin scheduling
  • TrackPod API research and connection plan documented for Phase 3
  • QR-code-to-landing-page flow for the trucks

Phase 2AI Layer

AI Integration & Automation

02

Outcome: The AI layer takes over inbound responsiveness and repetitive workflows — prospects get a real response in seconds, existing customers can place orders without waiting on a human, and your team only touches the exceptions.

What we'll do

  • AI chatbot trained on services, pricing rules, lead times, and pre-qualification logic
  • Automated order intake across web and WhatsApp — handles after-hours volume
  • Quote logic automation aligned to your pre-qual criteria
  • Escalation rules so a human only enters the conversation when it actually matters
  • CRM automations: lead routing, follow-up sequences, missed-touchpoint alerts

Investment

Scoped at the end of Phase 1, once the CRM data model and pre-qual rules are locked. Invoice issued at Phase 1 completion.

Phase 3Autonomous Ops

AI Brain & Autonomous Agents

03

Outcome: Parts of the business run themselves. AI agents handle quoting, scheduling, and customer-history-aware conversations end-to-end, and the team focuses on growth instead of operations.

What we'll do

  • AI agents that act on CRM data, not just respond to messages
  • Full TrackPod ↔ CRM integration — order, fulfillment, and customer record close the loop
  • Customer-history-aware agents (last order, payment history, preferences)
  • Autonomous quoting and scheduling for repeat customers
  • Performance dashboard: conversion rate, response time, agent accuracy

Autonomous agentsClosed-loop dispatchSelf-running quotingOperations dashboard

Investment

Scoped at the end of Phase 2 — sized once we see live AI performance data and decide which workflows go fully autonomous.

Why this order

The sequence is deliberate. Here's the logic.

1

Phase 1 first

Positioning, conversion paths, and a real CRM are the substrate. Without them, AI has nothing to read from or write to.

2

Phase 2 next

Once ICPs self-identify and leads live in one place, automating the responses produces immediate operational relief — the after-hours problem disappears here.

3

Phase 3 last

Autonomous agents need real data (from Phase 1) and proven automation rules (from Phase 2) before they can be trusted to run anything end-to-end.

Investment

Phase 1 is the only number we're putting down now — because it's the only one we can price honestly.

Next steps

Four things to set this in motion.

1

Settle Phase 1 to kick off.

Use the payment link — that's the green light for the ICP workshop and CRM setup.

2

Bring your son into the next call.

He's the technical gatekeeper; his read on the current stack shapes how we connect TrackPod and what we inherit vs. rebuild.

3

Send the pre-call materials.

ICP details, services and pricing, lead times, pre-qualification criteria, and quote logic — these feed directly into the Phase 1 workshop and the Phase 2 AI training set.

4

Confirm the kickoff date.

Once Phase 1 is settled and the pre-call info is in, we lock the first working session.

FAQ

Answers to the questions every decision-maker asks.

It would answer the wrong question for the wrong audience. The current site doesn't distinguish a construction buyer from a boater, and there's no CRM behind it for the bot to write to. We'd be automating a broken funnel. Phase 1 fixes the funnel; Phase 2 puts AI on top of a funnel that actually works.

It stays. TrackPod is good at what it does — dispatch and invoicing — and we're not replacing it. We connect it to the CRM through API in Phase 3 so the order, fulfillment, and customer record finally close the loop. Phase 1 includes the integration plan so there are no surprises later.

Yes. That's the point of the phased structure. Phase 1 delivers a converting site and a working CRM on its own — even if you never run Phase 2, you walk away with something that performs. Phases 2 and 3 are decisions you make once you see Phase 1 results.

Because pricing Phase 2 honestly requires knowing what's actually in the CRM, what the pre-qualification rules look like once documented, and how many ICPs need their own automation paths. Quoting it now would be a guess. We scope each phase at the close of the prior one — when we have real information.

Parked, by your own call. Rapid Onsite Fuelling is the cash cow and gets the focus. Once the foundation here is delivered, the same patterns — ICP messaging, CRM, AI — port over cheaply to the other entities. We can scope those as separate engagements when you're ready.
